Honestly, the number one thing I hear from nutrition business owners is: “I just don’t have enough time.”
Managing time and boosting productivity is something I’m slightly obsessed with – it’s been a necessity to juggle my two businesses whilst also having a good work/life balance! I’m always testing new techniques, but there’s one combo I keep coming back to because it just works: time blocking and task batching.
These two simple productivity strategies complement each other beautifully. They’re practical, easy to implement, and have saved me (and my clients) countless hours of stress and wasted energy. They also happen to be one of my top time management hacks.

Managing Your Time As A Nutrition Business Owner
You probably know this feeling all too well:
- You’re constantly jumping between seeing clients, answering emails, squeezing in content creation, and the other tasks on your to-do list, which, let’s face it can be a total energy drain.
- So you end the day exhausted, but still feel like nothing important got ticked off.
- You’ve got big ideas for your business, but no focused time to actually work on them.
- Constant interruptions leave you stuck in “reaction mode” instead of being proactive.
- Deep work? Forget it. There’s barely time to breathe, let alone block out business owner time and plan your new offer without working longer hours and risk leading to burnout.
Sound familiar? This is where time blocking and task batching can really help you out.
What Is Time Blocking?
Time blocking is simply assigning blocks of time in your calendar for specific activities or categories of work. Instead of tackling tasks as they pop up, you’re deciding in advance: “This is when I do this type of work.”
Why it works:
- Creates structure and routine
- Gives each task a “home” so you’re not constantly deciding what to do next
- Helps prevent procrastination and overloading your day
- Ensures you actually allow enough time for tasks to be completed
Example:
Block 9–11am for client calls, 1–3pm for deep work, 3–4pm for admin & managing emails.
What Is Task Batching?
Task batching is grouping similar tasks together and doing them in one focused session. It often happens within your dedicated time blocks.
Why it works:
- Cuts down the “switching costs” that drain your brain when switching from one task to the next
- Keeps you in the same headspace so focus and flow come easier
- Makes you intentional about where your time and attention are going
- Promotes deep work
- Reduces burnout
- Saves serious time.
Example:
- Writing a month’s worth of social media captions in one go
- Answering emails twice a day instead of 47 times
- Analysing food diaries in a morning
How Time Blocking + Task Batching Work Together
Think of it like this: time blocking gives you the “when,” batching gives you the “what.”
- A 4-hour time block for content creation → batch your weekly blog post, social media posts and newsletters.
- A 30-minute time block for admin→ batch emails and admin.
Together, these strategies stop your calendar from being hijacked by random tasks or other people’s priorities.
Real-Life Examples Of Task Batching In A Nutrition Business
Here’s how this could look in your week:
- Client work: Block out mornings for consultations, then batch your nutrition plan-writing and follow-up notes for after lunch.
- Content creation: Set aside two hours every Friday to batch-write social media captions, design graphics, and schedule posts.
- Admin: Dedicate 30 minutes at the end of each day to clear your inbox and plan for the next day.
- Business owner tasks: Block a weekly “CEO hour” to batch review KPIs, work on planning your next offer, or catch up with your team.
How To Get Started With Task Batching
Here’s my step-by-step guide to get you started!
- Create task categories: these are completely up to you, but a good place to start is looking at your task list. I use client work, CEO time, content creation, admin (email & planning) and CPD.
- Schedule dedicated blocks: add these in your digital calendar for each category. Pro tip: colour code them so you can see how your time is being spent at a glance.
- Categorise your to-do list: sort tasks into the right categories. Pro tip: You can do this in a digital task management tool such as Asana.
- Batch tasks into your blocks: add similar tasks from the same category into your dedicated time blocks. You can do this during your weekly and/or daily planning.
- Reflect & adjust: notice what works and amend accordingly.
Pro Tips To Make Task Batching Work
- Use a digital task management tool, eg Asana, to categorise tasks easily for quicker batching and scheduling into your time blocks.
- Break down big projects into smaller batchable tasks.
- Align batching with your energy levels so that you are doing mentally challenging tasks during your peak mental state. This will be different for everyone. My peak mental state is 7-10am, and by late afternoon, as I’m winding down, I tend to do admin.
- Set boundaries to protect your batching time. Turn off notifications, and let your team or family know when you’re in focus mode.
Don’t forget to schedule breaks and buffer time between your time blocks – you’re not a robot.
Final Thoughts
Time blocking & task batching are about creating structure so you can feel more spacious, less frazzled, and support you in working with intention. When you start using these tools consistently, you’ll be amazed at how much lighter and calmer your days feel. You’ll actually get things done – and still have headspace left for your big-picture goals (if you’ve time blocked for this!). It will also help you reclaim life outside of business.
