It may not seem like a big deal in the moment, but those micro-moments of disorganisation? They add up to hours of lost time, rising stress, and missed opportunities to work more efficiently – especially as your business grows.

Disorganised files don’t just slow you down. They silently chip away at your time, your clarity, and your ability to delegate or scale.
These are the most common culprits I see in messy file systems:
- No clear folder structure: Everything ends up in random folders – or worse, dumped into the downloads folder and forgotten.
- Poor naming habits: If you’ve ever saved something as FINAL-final-v2-USETHISONE.pdf, you’re not the first, and you won’t be the last. But unclear file names make it impossible to search and share quickly.
- Switching between tools: A blog post outline is saved in Chat GPT … but the images are in Canva… and your draft notes are in a Google Docs sitting on your desktop. Now you’re playing digital detective instead of running your business.
- No clean-up routine: Your downloads folder has become a digital junk drawer – overflowing, unlabeled, and impossible to navigate.
When your file system is clean, consistent, and centralised, it becomes a powerful business asset. You waste less time, make better decisions, and free up mental space.
Choose The Right Tool – And Set It Up For Success
Your file system should support you, not slow you down. Just like with your calendar, the tool you choose matters – and so does how you set it up.
Here’s what I always recommend:
✅ Cloud-based storage: So you can access files from anywhere – whether you’re at your desk, working remotely, or hopping between meetings.
✅ Easy sharing and permissions: You need to be able to collaborate without chaos. Use permission settings to keep sensitive files secure and avoid accidental edits.
✅ Integrations that work for you: Your file system should connect smoothly with your other tools like your project manager (e.g. Asana) or client platform (e.g. Practice Better). That way, files are always right where you need them, without digging.
My go-to? Google Drive. But Dropbox or OneDrive work well too — the key is to pick one tool and stick with it. Consistency is what makes the system work.
Once you choose your tool, it’s time to set it up.
1. Create your folder structure: Your file system should make sense at a glance – not 15 clicks deep into “Miscellaneous/Stuff/ToSortLater.”
A solid folder structure is the foundation of a functional setup. Start with 4–6 top-level folders:

Then create layers of subfolders inside each one to keep things organised but easy to navigate.For example:

Use colour tags or emoji symbols to quickly spot different categories. Little details like this make scanning and sorting much easier – especially when you’re short on time.
2. Use a Consistent Naming Convention: Let’s retire “FINAL-version_updated_v3.pdf” once and for all. Clear, consistent naming saves hours – especially when you’re searching, sorting, or collaborating with a team.
Here are a few examples:

- Blog Posts: File Management 2025-08-24

💡 Tip: Add dates in year–month–day format for automatic sorting.
- Create a Team Hub to Reduce Back-and-Forth: If you’re working with a VA or team, or plan to soon, this is essential. A “Team Hub” is your internal library for all the go-to stuff your team needs to do their job without constantly asking where things are.
Inside your Team Hub, include:
🔁 SOPs (how-to guides for repeated tasks)
🧰 Templates (emails, onboarding docs)
📌 Brand assets (logos, colour codes, headshots, bios)
Just this one folder can eliminate dozens of repeated questions and hours of back-and-forth.
Protect Your Time With Regular File Clean-Ups
You don’t need to go full Marie Kondo on your files every week – but you do need simple, consistent habits to stop clutter from piling up. Even the best file system will start to break down without a bit of regular maintenance. A few quick check-ins are all it takes to keep things running smoothly.
Here’s the rhythm I recommend:
✅ A weekly quick tidy-up: Clear downloads folder + desktop clutter.
✅ A monthly organisation: Take 15 minutes during your monthly planning session to file anything in your cloud storage that’s still floating about.
✅ An annual full file system refresh: Block out time once a year (I like January or end of summer) to do a digital spring clean.

- Delete duplicates or outdated versions
- Review your folder structure — is it still working for you?
- Relabel anything unclear or inconsistently named
