As a fellow business owner (including a nutrition business), I know firsthand how chaotic it can get when you’re juggling multiple things. I’m a big productivity geek and always trying to find ways to improve my time management. Over time, I’ve experimented with several time management hacks that have seriously boosted my productivity, and I’d love to share my favourites with you. Here’s a look at my top 6 to help you get the most out of your day.
1. Eliminate Distractions
Distractions are sneaky productivity killers. Imagine this: you’re in the middle of drafting a new client diet plan or a blog post when suddenly, a notification pops up from an unrelated tab, or your phone buzzes with a social media alert. It’s all too easy to get sidetracked. To combat this, I’ve made it a habit to:
- Find The Right Place To Work: Working in a clutter-free space means your eyes aren’t constantly bombarded with random objects that can pull your attention away from what you’re doing. When your physical environment is organised, it sends a signal to your mind that it’s time to work.
- Close Non-Essential Browser Tabs: Only keep the tabs that are necessary for your work open. This minimises the temptation to click around.
- Get Rid Of Your Phone: Our phones are without a doubt, our most attention-grabbing devices. Place your phone in another room or at least out of your immediate workspace, and ensure it is on silent mode. This simple physical separation can significantly reduce the urge to check it constantly. This one is a game-changer.
- Manage Notifications: Turn off or snooze notifications on your computer and email. Allocate specific times later in the day to catch up on your messages.
By setting up your work environment to be as distraction-free as possible, you allow yourself to focus without the constant lure of interruptions. This helps you get into a flow state faster and work more efficiently.
2. Find Your Productive Hours & Reserve Them for Deep Work
We all have times during the day when our focus is at its peak – those golden hours when ideas flow and concentration is effortless. Mine is in the morning, especially the first few hours after waking. What’s yours? Identifying these hours and dedicating them solely to deep work is a game-changer. Here’s how you can do it:
- Experiment with Timing: Track your energy levels throughout the day for a week to see when you’re most alert and creative. Whether it’s early morning or late at night, knowing your peak time is key.
- Set a Timer: Once you’ve identified your deep work window, try setting a timer for a dedicated session – say, 90 minutes (my method of choice!) or use the Pomodoro technique (25 minutes of focused work followed by a 5-minute break). This structure not only helps maintain your concentration but also trains your brain to work in bursts of high productivity.
- Prioritise Important Tasks: Use this time for tasks that require a lot of brainpower, like developing new strategies, creating content, or analysing data. Protect these hours fiercely and treat them as non-negotiable appointments with yourself.
By carving out and honouring these periods, you ensure that your best ideas and most demanding tasks get the attention they deserve, leading to better results in less time.
3. Avoid Multi-Tasking (It’s a Myth!)
There’s a common misconception that multitasking makes you more productive, but the truth is it often leaves you feeling scattered and exhausted. Research shows that our brains need time to adjust when switching tasks. By minimising these switches, you conserve mental energy and reduce fatigue, leading to more efficient work sessions overall.
Here’s how to focus on one task at a time:
- Understand Time Blocking: I use Google Calendar to visually structure my day. I assign different coloured blocks to various tasks—whether it’s client work, content creation, learning and development or business planning. This method not only gives a clear picture of my day but also helps prevent overcommitting. Try it out!
- Embrace Task Batching: Instead of sporadically checking emails throughout the day, designate a specific block of time – say, 20 minutes at lunchtime – to tackle all your email responses. This minimises constant interruptions and allows you to focus fully on each task during its allotted time.
Focusing on one task at a time isn’t just a myth—it’s a strategy backed by science that can help you stay sharper and get more done with less stress.
4. Plan & Schedule
Procrastination is your enemy when it comes to managing your time. We often procrastinate when we don’t know what we are supposed to be doing, so a structured planning approach can make all the difference:
- Monthly Planning: Start by mapping out the big picture for the month. Identify key projects, deadlines, and major events. This gives you a strategic overview and allows you to create monthly goals that align with your long-term goals.
- Weekly Planning: Each week, review your monthly goals and break them down into smaller chunks. Prioritise what needs to be done, set realistic targets each week, and adjust as needed. This step is all about ensuring that your daily grind is connected to the bigger picture.
- Daily Planning: Finally, every morning (or the night before), create a detailed list of tasks for the day from your weekly targets. Break these chunks into manageable detailed tasks, include estimated times for each and schedule them into your day (this step is important – if it’s not in your calendar theres a chance it won’t ger done!). This not only keeps you organised but also gives you a clear roadmap to follow for your day ahead, reducing the chances of feeling overwhelmed.
This layered approach to planning creates a seamless connection between your daily activities and your long-term objectives, making each day more focused and productive.
5. Take Breaks
It might seem counterintuitive, but taking regular breaks is crucial for maintaining high levels of productivity. Constant work without rest can lead to burnout and decreased efficiency. Here’s why breaks are a must:
- Recharge Your Brain: Short breaks help your brain process information and rejuvenate. Whether it’s a quick walk, a few minutes of stretching or just stepping away from your desk, these pauses can prevent mental fatigue.
- Improve Focus: After a break, you often return with a clearer mind and a renewed focus. This can make your work sessions more effective and even spark new ideas.
Just like your work sessions, treat breaks as essential parts of your schedule. Plan them in advance so that you’re not tempted to skip them when deadlines loom.
Remember, effective time management isn’t about cramming more tasks into your day—it’s about making your work time count. By allowing yourself regular breaks, you not only preserve your energy but also enhance the quality of your work.
6. Leverage AI tools
In today’s fast-paced world, AI isn’t just for tech giants – it’s a game-changer for nutrition business owners too. Here are three smart ways you can use AI to streamline your operations and free up more time for what really matters:
- Content Creation:
AI-powered tools can help generate topic ideas for content in a flash – whether that’s blog posts, social media content, or marketing emails in a flash. Imagine having a digital assistant who can also suggest catchy headlines, create blog post outlines, repurpose long-form content and even optimise your content using your own brand voice and personality.
These tools should be used to support you in creating content and not just writing it for you. You will still need to validate ideas with your audience or keyword research, ensure your content is evidence-based and of course add any personal touches so that your content sounds like YOU!
- Client Note Writing:
Let’s talk about a game-changing trend in our industry: using AI note-writing tools to make consultations smoother and revolutionise how we create client notes.
