How to Delegate Like a Pro
Delegating is a skill, and I’m here to walk you through my step-by-step process so you can confidently hand over tasks and keep your business running smoothly.
Step 1: Hand Over Everything They Need
- Provide instructions
Be super clear about how you want the task done. If it’s something that requires a detailed process, create a Standard Operating Procedure (SOP) for them. For other tasks, share examples of assets you like, like a sales page you admire. - Provide all necessary tools and assets
What do they need to get the job done? This could include password access to tools, branded templates, or important company documents (like branding guidelines). - Set clear expectations for the outcome
What should the end result look like? If you’ve got examples of what you want, share them! The more visual and clear you are, the better. - Be clear on deadlines
Make sure they know exactly when the task is due. Set a deadline, and don’t forget to communicate what happens if the task isn’t completed on time. And for new tasks, give a little leeway in case there are bumps in the road. - Decide if you want regular updates
Let them know if you want to be kept in the loop during the process. Be specific about how often you want updates and through which channel (e.g., daily emails, weekly calls, etc.). - Clarify if you want to review and approve
If it’s a new task or project, it’s usually a good idea to review and approve it before it’s finalised. Let them know up front!
Step 2: Use Clear & Specific Language
Clarity is everything! The more specific you are, the less room there is for confusion. Here’s how to turn vague requests into crystal-clear instructions:
- Instead of “I need this ASAP,” say, “I need this by 5pm GMT on Monday at the latest.”
- Instead of “Can you fix this blog post?” say, “Please add 2-3 statistics to paragraphs 2 and 3, plus 3 images of a woman enjoying a healthy meal at home.”
- Instead of “Keep me in the loop,” say, “Can you send me weekly updates every Friday afternoon via WhatsApp?”
Step 3: Confirm & Assign

Step 4: Be Available
Make sure your team knows they can come to you with questions. Be available for approvals and feedback, especially when you’re training someone new. If text communication isn’t cutting it, hop on a quick video call, or chat over the phone or via voice notes to clear up any misunderstandings.
Step 5: Deliver Feedback
Feedback is everything! Praise them for what went well, and offer constructive feedback on areas that need improvement. It’ll help them grow and ultimately make your business run smoother.

While Slack is perfect for larger teams, WhatsApp is my go-to for smaller teams. It’s super versatile — you can send messages, voice notes, or jump on a quick video call. Plus, you can pin important messages, star key info for later, and easily share links and files, which can then be saved in your online file-sharing system. - Asana for Task Delegation

It ensures you never lose track of delegated tasks and makes team collaboration a breeze. You can chat about progress, ask questions, and keep everything task-related in one neat spot. Regular check-ins are key for staying connected without micromanaging. The free version gives you 40 minutes of meeting time, and the recording feature is a lifesaver for keeping notes and tracking progress. Of course, Teams and Google Meet can also do the job!
