You’ve got two main options:

  • Digital tools like Toggl, Clockify, Harvest or RescueTime
  • Manual tracking in a notebook or spreadsheet

I recommend going digital – it automatically records your time, creates easy-to-read reports, and the basic versions are free. Plus, it only takes about 10 minutes to get set up and learn your way around. That’s a tiny investment for a tool that will give you the kind of clarity most business owners wish they had years ago. But ultimately, the choice is yours – what’s important is that it works for you. 

Step 2: Pick a “Normal” Week
Avoid tracking during a holiday week or when you’re launching something new. You want a typical week that reflects your usual workload.

Step 3: Track Everything
Yes, everything. Not just your big projects or client sessions – log the quick emails, the content tweaks, the admin you do between meetings, and even the “just five minutes” of social media scrolling. These are often the hidden time drains that make the biggest difference once you spot them.

Step 4: Categorise Your Activities

  • Eliminate identified distractions: Set email-checking times, use website blockers, mute notifications, and switch your phone to Do Not Disturb when you need deep focus.
  • Delegate repetitive tasks: Hand off admin, content scheduling, or other tasks that don’t require your expertise to a VA.
  • Automate processes: Use tools like Practice Better or Calendly to manage bookings, reminders, and form submissions without manual input.
  • Streamline workflows: Create SOPs & use templates to simplify processes.
  • Use AI as a time-saver: From drafting blog outlines to summarising meeting notes, AI tools can take care of smaller tasks in minutes.
  • Refocus on growth: Redirect your freed-up time to high-impact activities: developing scalable offers, nurturing leads, or refining your business strategy.

This step is where you shift from “working harder” to “working smarter.” Instead of cramming more into your already-packed schedule, you’re making space for the things that will actually grow your business – and give you the freedom and balance you’ve been craving.

Pro Tips for Making Time Tracking Work for You

Time tracking is simple in theory, but a few smart tweaks will make the difference between it being “just another thing to do” and it becoming the eye-opening business tool it’s meant to be.

  • Track for at least one full week: Anything shorter won’t give you as accurate or a true picture. But if it’s your first time and you’re struggling, then track for at least 3 days. 
  • Repeat regularly: Every six months or when your workload changes, track again to see how your habits are shifting.
  • Use it with your team: If you have support, it’s a great way to spot where processes can be improved.
  • Keep it simple: Whether you go digital or manual, make it quick and easy to log your time.

Treat it as a short-term exercise: You’re gathering insights, not adding a new chore for the rest of your business life.

Common Pitfalls in Time Tracking

  • Relying on memory or guesswork: Human memory is unreliable for time tracking, especially when your days are full. Use a tool or system that captures tasks in the moment.
  • Using overly generic categories: “Work” doesn’t tell you much. Specific categories will give you much richer insights.
  • Ignoring the small stuff: Five-minute tasks may seem insignificant, but multiply them across a week and you’ll often find they’re quietly stealing hours from your schedule.
