Choosing the right client management software for your nutrition business can feel completely overwhelming – I regularly see posts in dietitian community forums asking this exact question. There’s no denying that having a system to manage clients is a no-brainer, but with so many platforms out there, each one claiming to save you time, streamline your admin, and improve the client experience, it’s hard to know which one actually delivers.
I’ve tried and tested several client management tools, both in my own nutrition business and while supporting other nutrition professionals with their business operations. In a recent blog post reviewing various client management software, I summarised key features, pros and cons, and who each one is best suited to. But in this post, I want to go deeper. This is a full review of my personal favourite: Practice Better.
I’ll walk you through the features that matter most, how it works in real life and share some practical tips for getting started. Whether you’re considering switching platforms or just want to see what all the fuss is about, then this is for you.
What Is Practice Better?
Practice Better is one of the leading all-in-one practice management platforms for health and wellness professionals – and for good reason. According to Practice Better, it’s used by over 50,000 practitioners globally, and that number is growing fast.
What sets it apart is that it was originally built with nutrition professionals in mind. While it’s now used by a wide range of health providers (from dietitians to therapists and coaches), the platform still stands out for its strong focus on the features we need most – like food diaries, progress tracking, secure messaging, and customisable templates.
In short? It’s a system designed not just to manage your clients, but to support the way you actually work as a nutrition professional. It’s known for having one of the most feature-rich setups, offering both a smooth practitioner workflow and a polished client experience. And in this post, I’ll show you exactly how.
Key Features (and Why They Matter)
When you’re choosing a client management platform, features are everything – but only if they actually make your life easier. Practice Better has a really strong feature set that’s specifically designed for nutrition professionals. Here’s a breakdown of these (and why they matter in day-to-day practice):
📅 Scheduling & Calendar Integration
Let’s start with the obvious – your calendar.
One of the things I love about Practice Better is how flexible the scheduling setup is. You can customise your availability by day and by service, which is super helpful if, for example, you only want to offer follow-up calls on Mondays and discovery calls on Fridays.
You can book appointments manually yourself, but clients can also self-book in a few different ways (highly recommend – you’re too busy for that!):
- Share your unique booking link with them
- Embed the booking page directly on your website
- Let them book directly through the client portal
Your PB calendar also syncs with your usual calendar (Google, Outlook, iCloud), so you’re not constantly switching tabs or worried about double bookings.
And yes, appointment reminders are built in. You can send them manually, but the magic really happens when you set up automations. Customised appointment and booking reminder messages can go out automatically, reducing no-shows and saving you admin time.
📁 Client Notes & Templates
This is where Practice Better really shines for nutrition professionals. The template library is packed with pre-designed, editable templates for assessment notes, intake forms, follow-ups, food diaries and more. And because they’re customisable, you can tweak them to match your needs, saving time without compromising on detail.
There’s also a built-in AI scribe (you get 600 minutes included on paid plans), which you can use to auto-generate notes from sessions. If you’re new to AI tools, it’s a handy way to get started. That said, in my experience, some third-party AI note writing tools built specifically for clinicians are more advanced, but they work really well alongside Practice Better if you prefer external support.
You can also upload attachments directly to client records, like blood results, GP letters, or PDFs of meal plans, keeping everything in one secure place.
A favourite feature of mine is the use of protocols. These are used to create food and lifestyle action plans for your clients. These are great if you regularly provide specific recommendations to multiple clients eg low salt, walking plan. You can create your own or customise any from their huge protocol library.
💳 Payments & Packages
Let’s be real – chasing payments isn’t how you want to spend your time.
With Practice Better, you can require payment at the time of booking, as long as you’ve linked your payment processor account, eg Stripe. This means no awkward follow-ups, just clean, automatic payments.
You can also set up packages (e.g. a 6-session bundle) or subscriptions for ongoing support – both of which are great for client retention and planning recurring revenue.
If needed, you can offer payment plans so clients can pay in instalments instead of upfront, and the platform handles that for you.
Another nice touch? Discount codes. You can create and customise them for seasonal offers, group programmes, or loyalty rewards (e.g. 10% off your next session if you refer a friend).
💬 Client Communication & Experience
One of the best things about Practice Better is how much thought has gone into the client experience. It feels smooth, professional, and supportive from the moment someone books in.
Client onboarding is automatic and easy. Once you add a client, they’re prompted to create a secure account and are guided through onboarding with personalised messages and resources you’ve set up. You can include forms, welcome packs, or troubleshooting guides – and the whole process runs without you having to manually follow up.
The in-app messaging system is another huge plus. You can chat securely with any client who has activated their account, directly from the platform or mobile app – no need for WhatsApp or emails that aren’t compliant. It keeps communication centralised and professional.
For accountability and motivation, progress tracking is built right in. Clients can log goals, track habits, and update their own records, which helps boost engagement between sessions.
Need to share handouts, PDFs, or video links? You can easily upload resources to the client portal, making it a one-stop shop for everything they need.
And finally, branding adds that polished, professional touch. You can customise your client portal, emails, and forms with your logo and brand colours – so your practice feels cohesive and credible from day one.
📹 Telehealth
Practice Better includes its own built-in video platform, meaning you can run secure video consultations directly through the platform – no extra Zoom links or logins needed.
That said, it also integrates with Zoom, which is a nice bonus if you’re running group calls or sessions with multiple attendees (like parents, carers, or MDTs).
Once a client books, the system automatically sends the video link as part of their confirmation and reminder emails – another admin task off your plate.
🔁 Automations & Workflows
This is hands down one of my favourite features. ✨
With Practice Better’s automations, you can streamline so much of the behind-the-scenes admin. For example, you can:
- Automatically send forms when someone books an appointment
- Add new clients to an onboarding workflow
- Send appointment confirmations, check-in reminders, or testimonial requests
- Create client tasks like completing a food diary or uploading a document
It saves hours each week, and once set up, these workflows run in the background.
You can also tag clients to help organise your client list. For example, for client types (e.g. CKD Stage 3, CKD Stage 4), for milestones (e.g. “6-week completion”), or to track programme cohorts. It’s a small feature that makes filtering and follow-up so much easier.
🔐 Security and Compliance
Data protection is a non-negotiable – and Practice Better gets this right.
They’re fully compliant with HIPAA, PIPEDA, PHIPA, and GDPR, so whether you’re based in the UK, US, or Canada, you’re covered.
All data is encrypted in transit and at rest using AES-256 bit encryption (the same level used by banks), and stored securely on encrypted servers in North America. So you can rest easy knowing your client data is safe.
💡 User Experience and Support
This is where Practice Better really stands out. It’s incredibly intuitive, even if tech isn’t your thing.
You’ve got several support options available:
- Email support with a 24-hour turnaround
- AI-powered chatbot for quick answers
- 15-minute Zoom calls if you need help with something more complex
Their Help Centre is packed with tutorials, articles, and videos covering everything from setting up forms to automating your workflows. Plus, their blog has some brilliant business-growth content.
There’s also an active Practice Better Community, moderated by the team, where you can ask questions, learn from other professionals, and get inspiration from how others are using the platform.
💷 Cost
Practice Better offers four pricing tiers:
- Starter – $25/month (up to 10 clients): Ideal for complete beginners, but the client cap means you may outgrow it quickly.
- Professional – $69/month: Best for most solo nutrition professionals offering 1:1 consultations. Includes up to 300 clients and most core features.
- Plus – $89/month: Most popular tier, with advanced features like group programmes and automation enhancements.
- Teams – $155/month: Designed for practices with multiple practitioners and team members.
The Professional plan is a great sweet spot for most – unless you’re selling group programmes or running a higher-volume practice.
⭐ Additional Features
Practice Better continues to evolve with features that support your growth as a business owner, not just a clinician.
- Meal planning is now easier than ever with seamless integration with That Clean Life, allowing you to create, customise, and share meal plans or recipes directly within the platform.
- You can sell programmes, whether that’s a self-paced online course or a live group coaching series, with full client access and automation tools to support delivery.
- The mobile app is available for both practitioners and clients, giving you flexibility and real-time access on the go.
Pros and Cons
No platform is perfect, and Practice Better is no exception. That said, it offers a huge amount of value for nutrition professionals – especially if you’re ready to streamline your systems and grow.
Pros
✅ Built specifically for nutrition professionals
Unlike many platforms that try to be everything to everyone, Practice Better was created with dietitians and health professionals in mind. That means the features actually support how we work.
✅ Truly all-in-one
From booking to payments, client notes, courses to client messaging – everything’s in one place. No need to cobble together multiple platforms and tools.
✅ Professional, seamless client experience
Your clients get a secure portal, clear communication, and everything they need to stay engaged – without the messy email trails and PDFs.
✅ Feature-rich and scalable
Whether you’re offering 1:1s or branching into courses and group programmes, Practice Better grows with you. You don’t have to “switch systems” when your business evolves.
✅ Great support and a thriving community
The help centre is comprehensive, support is responsive, and the Practice Better community is full of practitioners generously sharing tips and best practices.
Cons
❗️ It’s not the cheapest option
While the pricing reflects the quality and features, it may feel like a stretch if you’re just starting out or managing a low client volume.
❗️ The built-in AI scribe is basic
It’s a helpful tool, especially if you’re new to AI, but there are more advanced AI tools out there for clinical note writing. The good news? You can use both side by side.
❗️ Learning curve for automations
Automations are powerful – but they do take a little time to set up. Once they’re in place, they’re a game-changer, but expect to spend a few hours getting your workflows right.
❗️ Possibly too much for very early-stage businesses
If you’re only seeing a few clients per month on the side, Practice Better might feel like more than you need. But if you’re aiming to grow, it’s worth considering as an investment in smoother systems from the start.
Who is it best for?
Practice Better isn’t a one-size-fits-all tool – but for the right business, it’s an absolute gem.
Best for:
- Solo nutrition professionals seeing regular 1:1 clients
- Dietitians offering group programmes or online courses
- Small teams or practices wanting a shared, secure client system
- Practitioners looking to scale and needing automation to save time
- Anyone ready to offer a polished, professional client experience (without needing 10 different tools)
Might not be for you if:
- You’re very early in your business and only seeing 1–2 clients per month
- You’re on a tight budget and need to keep costs ultra-low to start
- You prefer very simple systems and don’t want to learn new tech (though honestly – it’s pretty intuitive!)
Tips to Get You Started With Practice Better
Whether you’re switching from another system or starting fresh, these tips can help you avoid overwhelm and make the most of what Practice Better has to offer:
- Start with automations – but keep it simple: You don’t have to build an entire workflow from day one. Start with one or two, like sending forms after booking or triggering appointment reminders, and build from there.
- Use the pre-loaded templates: From intake forms to assessment notes, there are so many templates ready to go. Customise them to suit your style rather than starting from scratch.
- Set up a test client: Before you roll it out to paying clients, set up a “dummy” client so you can walk through the full process – booking, onboarding, forms, messaging, video calls, the works. It’s a great way to spot gaps or polish your flow.
- Don’t forget the tutorials and help centre: Practice Better has excellent support content – use it! Their blog and help centre articles & videos walk you through setup, automations, and best practices step-by-step.
- Join the community: Their Facebook-style community is full of ideas, inspiration, and behind-the-scenes insights from other practitioners. It’s a great space to learn and troubleshoot.
- Migrating from another system? I don’t have personal experience with us as I started with Practice Better but take it step by step and lean on their support team if needed.
Final Thoughts
There’s a reason why Practice Better is the platform I keep coming back to – and why I recommend it so often to nutrition professionals.
It’s more than just a scheduling tool or a note-taking system. It’s a full business hub that helps you streamline your processes, save time, and create a polished, professional experience for your clients – without needing to be a tech whiz or have a big team.
If you’re serious about growing your nutrition business or just want to stop juggling five different tools to keep things running, then Practice Better is absolutely worth considering.
